When a HubSpot report shows a number you don't expect, the report is usually counting a different set of records than you think. The common reasons are the date property it filters on, a dashboard filter stacked on top of the report's own filters, and permissions that limit the viewer to their own records.
Start by opening the report on its own from Reporting, then Reports, instead of reading the dashboard tile. Check which date property and date range it uses, read every filter, then click into the number to see the records behind it. Compare that list with the records you expected and look at what the missing or extra ones have in common.
Why HubSpot report numbers don't match
The report uses a different date property
A deals report filtered on Create date this quarter and one filtered on Close date this quarter answer two different questions, so their totals can differ. Single object reports set the date property and date range at the top of the report, so check which one is chosen. Dynamic date range quick filters on dashboards don't change Date entered [stage] properties, so reports on stage entry dates need their own filter.
Dashboard filters stack on top of report filters
Under HubSpot's dashboard filter rules, a dashboard filter is added to a report's filters with AND logic, and only for reports that use the same data source as the filter's property. When both filter the same property, the dashboard filter overrides the report's. Reports with grouped AND/OR rules are the exception, where the dashboard filter is added on top. Filters you apply only change your own view and stay for your browser session, so two people can see different totals on one dashboard. Hover over the information icon on the dashboard to see what's applied. A report opened through View & filter ignores the dashboard filters, so it can show a different number from its tile.
The viewer can only see their own records
CRM view permissions carry into reports. HubSpot's user permissions guide says users limited to their own records only see their assigned records on index pages, in segments and in reports. A rep who can view only their deals and a manager who can view all deals can get different totals from the same dashboard. Check each user's object permissions in Users & Teams settings.
Filters that drop blank values
In the custom report builder, the conditions is not equal to, is none of, doesn't contain any of, has never been equal to any of and has never contained any of all leave out records with no value for that property. A filter like Region is not equal to EMEA also removes every record where Region is empty. Blank values are left out of sums, averages and other aggregations too.
More than one data source changes the count
In a custom report, the primary data source decides which records are in scope. With Contacts as primary and Deals as secondary, deals with no associated contact are left out. Swap them and those deals come back as a (No value) row. Records can be counted more than once when several associated records meet a filter, and Distinct count counts records with the same value once. The View data join info panel shows what's included. As of October 2026, the custom report builder needs a Professional or Enterprise subscription, according to HubSpot's report builder article.
Time zones, today and currency
Date filters such as This month use the account's time zone, while date values display in your own time zone, so a deal created near midnight can look like it's in the wrong period. This week runs from Monday to Sunday. Line and area charts leave out today unless Show today is selected in chart settings. If your account uses multiple currencies, report on Amount in company currency so every deal is shown in one currency.
Owners, pipelines and fresh data
Look for pipeline, owner and HubSpot team filters you didn't expect, and check who owns the deals today if reps changed. New records take 10 to 15 minutes to appear in reports, and custom reports refresh every two hours unless someone refreshes them by hand. You can refresh manually once every 15 minutes.
How to fix a report that doesn't match
- Write down the number you expected and where it came from, such as a saved view on the deals index page, an export or another system.
- Open the report from the reports list. Note the date property, date range and every filter, including pipeline and owner.
- On the dashboard, hover over the information icon to see the dashboard filters and any report filters they override.
- Click the number, or open the Unsummarized dataset tab, to see the records. Use Export unsummarized data if you need to compare line by line.
- Build an index page view with the filters you think the report should use, and compare the two lists to find the records that differ.
- Look at what those records share, such as a blank property, another pipeline, a missing association or an owner the viewer can't see.
- Fix the filter or date property, save the report, and refresh the dashboard from its Actions menu.
How to stop it happening again
Put the date property and pipeline in the report name, for example "Deals won by close date, Sales pipeline". Keep one dashboard that leadership treats as the source of truth and limit who can edit it. When you change permissions or reassign a rep's records, check the dashboards those people use. My HubSpot audit checklist includes reports in its review.
From client work
At PICO IV, one brand's sales were invisible because sales followed the deal owner instead of the client's brand. I built deal workflows that flag that brand's client orders and copy the chosen rep onto the order, flagged 110 past orders back to 2024, and set up revenue dashboards per brand. Read the PICO IV case study. At Phoenix Industrial Cleaning, 57 deals were falling out of won revenue because later job stages weren't marked as won. The won revenue guide covers that problem.
If you've worked through this and the numbers still don't match what your team sees, I can audit your reports and pipelines and fix them.
Questions
Why does my manager see a different number on the same dashboard?
Either one of you has dashboard filters applied, which only affect the person who applied them, or your CRM view permissions differ. Users limited to their own records only see those records in reports.
Why are today's deals missing from my chart?
Line and area charts leave out the current day unless Show today is selected in the chart settings. New records also take 10 to 15 minutes to reach reports.
Can I combine two reports into one?
No. HubSpot says existing reports can't be merged. Build a new custom report with the data sources and filters you need, or keep both reports side by side on a dashboard.
Did this fix it?
Good to hear. If something else in the portal looks off, the help centre has more fixes.
