HubSpot links a contact to a company by itself only when the "Create and associate companies with contacts" setting is on and the domain in the contact's email matches a company's Company domain name. If the setting is off or the domains differ, the contact stays unlinked. A filled-in Company name on the contact doesn't link anything. That's a separate contact property, and it doesn't sync with company records.
Check the setting first. In your settings, go to Data Management, click Objects, choose Companies and look in the Automation section. If it's off, you can turn it on and apply it to the contacts you already have.
Why contacts aren't linked to their companies
Automatic association is off, or was set for new contacts only
When you turn the setting on, HubSpot asks whether to apply it to existing contacts. Yes links existing contacts as well as new ones. No only covers contacts created from then on, which explains a portal where newer contacts have companies and older ones don't. Turning the setting off later leaves existing links as they are.
The email domain and the company domain don't match
The match is on the domain alone. HubSpot fills the contact's Email Domain property automatically, so put it side by side with the company's Company domain name. Subdomains count as separate domains. A contact at info.example.com won't link to a company set up as example.com, and HubSpot will create a second company for the subdomain. Whenever no company exists for a domain, HubSpot creates one and fills it in from its own company data.
The contact uses a personal email address
For free email addresses such as Gmail or Yahoo, HubSpot looks at the contact's Website URL property to find a matching company. If Website URL is empty, no link is made, and these contacts have to be linked another way, such as an import.
The domain is on the excluded list
The same Automation section lets you exclude domains from automatic association, up to 1,000 of them as of October 2026. Contacts on an excluded domain aren't linked in most cases, though form submissions follow their own rules, described below. If you take a domain off the list, it doesn't start linking again until you turn the setting off and back on.
The contact already has a company, or several companies share the domain
A contact already linked to a company that doesn't match its email keeps that link. If two or more companies have the same domain, HubSpot links the contact to only one of them, and you can't choose which. Duplicate companies can leave contacts linked to a record nobody uses.
The contact came from an import, an integration or a form
Contacts created in an import of both contacts and companies keep the links from the file, and the setting won't create a company for a contact the file left without one. HubSpot doesn't recommend automatic association with the Salesforce integration, because it can create duplicate companies. Its import guide also suggests turning it off when your contacts' email domains differ from their company domains, and linking records through the import instead. Forms follow their own rules. If a submission includes company properties, HubSpot links the contact to that company whatever your setting and excluded list say. If the submission has no Company domain name but the email domain matches an existing company, the contact is linked to that company.
How to link existing contacts to their companies
- Find companies that share a domain and decide which record should stay before you link anything.
- Fill in or correct Company domain name on your companies.
- Turn on "Create and associate companies with contacts" and choose Yes so existing contacts are included.
- For contacts still without a company, run an import of contacts and companies with each contact's Email and the company's Company domain name in the file. Where you don't have emails or domains, use Record ID, which overrides the other identifiers.
- With a Professional or Enterprise subscription, a workflow can link records that share a property value using the Create associations action. The match is exact and case-sensitive, and the value has to be on both records, so it suits a shared value such as an account number you store on contacts and companies.
- For a handful of contacts, open each one and add the company from the Companies card in the right sidebar.
- Where a contact has several companies, open the three-dot menu on the right one and choose Set as primary.
How to stop it happening again
Keep Company domain name filled in on every company. On forms where the company matters, include a Company domain name field, since company details on a form take priority over the email domain. Add domains to the excluded list when many unrelated people share them. Keep an eye on primary companies too. HubSpot automatically links timeline activities such as emails and calls only to a contact's primary company, and lifecycle stage syncing only updates the primary company. Before a large import, read HubSpot import errors, and if the same people exist twice, start with duplicate contacts.
If your contacts and companies need linking at scale and you'd rather not risk the wrong matches, I can audit and fix it.
Questions
Does turning on automatic association fix existing contacts?
Yes, if you choose Yes when HubSpot asks whether to apply it to existing contacts. Choosing No only affects contacts created after that point.
Why does a contact show a company name but no associated company?
The Company name property on a contact is separate from company records and doesn't sync with them. A contact can have it filled in and still have no associated company.
Can a contact be associated with more than one company?
Yes. One of them is the primary company, which is the one timeline activities and lifecycle stage syncing use. The first company associated with a contact becomes primary by default.
Do I need a paid plan for automatic company association?
No. The setting is available on all HubSpot products and plans. Linking records with a workflow needs a Professional or Enterprise subscription.
Did this fix it?
Good to hear. If something else in the portal looks off, the help centre has more fixes.
